    This is why we set our customers up with a cloud signature service instead. Each employee automatically gets the businesses signature added to every email, no matter the device. It also enables you to easily promote new products or services, just update the central template and all your employee's emails go out with the promotion.

  • Are your employees always forgetting to set an out of office?

     

    Are your employees always forgetting to set an out of office? With Office 365 it is possible to give someone the ability to set anyone's out of office. If you want an IT team capable of doing this for you then contact us!

    To give someone the ability to set anyone’s out of office

    1. Login to the Office 365 admin portal - https://admin.microsoft.com
    2. Go to the Exchange admin centre
    3. Select “permissions” from the left-hand menu
    4. Select “admin roles”
    5. Double click on “Recipient Management”
    6. Under the “Member” section, click the + icon
    7. Double click each account you want to give this permission and then click “OK”
    8. Click “Save”

    To set someone else’s out of office

    1. Login to the Exchange Control Panel - https://outlook.office.com/ecp
    2. Click your initials/picture in the top right
    3. Click the “Another user…” link
    4. Double click the user you want to set
    5. Select “organize email” in the left-hand menu
    6. Select “automatic replies”
    7. Set as you wish and click the “Save” button

    Having an Electronic Vault / Archive system preserves all your email and business documents, and allows quick and easy searching across your entire organisation. Providing many benefits:

    • Resolving disputes with customers or suppliers
    • Recovering deleted emails, e.g. a disgruntled leaver who empties their mailbox on their last day
    • Meeting compliance regulations

    There are many different electronic vault / archive systems available. Which one is best for your business? It will depend on what you are currently using to store information.

    If you are using Google’s G Suite / Workspace, the answer is easy, Google Vault.

    If you are using Microsoft Office 365, the retention policies feature can fill this role. Be careful, as you will need a licence that includes it, the popular Microsoft 365 business standard does not.

    If your data is spread across multiple vendor systems you might be better off with a standalone vault / archive solution that can cope with all of them.

    Doesn’t my disaster recovery or backup system do this? No, most do not allow you to search them like an Electronic Vault / Archive system does.

    Our helpdesk received a call from Mr. S. Claus, who wanted some help with his important deadline coming up.

    His business was manufacturing/direct delivery - all year long he stays at his headquarters, in the Arctic, but once a year he travels all over the world, delivering to his clients.  His old email service, provided by his ISP, was straining under the volume of email from clients (mostly children) with what they wanted in this year.  He needed to change to reliable email system, able to cope with the huge number of emails  and he wanted to change quickly.

  • Understanding the benefits of email signature software

    Almost every business recognises the importance of a professional looking brand and this is reflected in logos, websites and sales collateral. However, the brand image ‘ball’ seems to be dropped when it comes to email signatures.
